Scheduling keeps everyone aligned and adds the call to their calendars automatically. Most issues happen when people use Meet now instead of a scheduled invite, forget to make it recurring, or don’t set the right meeting options. The fix: start from Calendar, fill in attendees, date/time, and adjust Meeting options before you send.
Before you start
- Use the desktop or web app for full controls; mobile works for quick scheduling.
- Your org’s policies may limit external guests or dial-in.
- If you’re evaluating tools, see how Teams Free compares: Microsoft Teams Free vs Slack.
1) Schedule from Calendar (desktop/web)
- In Teams, select Calendar on the left rail (calendar icon).
- Select + New meeting (top right).
- In the Details form, add:
- Title
- Required attendees (type names or emails)
- Date & time (toggle All day if needed)
- Time zone (if different from your default)
- Location (optional)
- (Optional) Select Does not repeat → choose Daily/Weekly/Monthly/Custom to make it recurring.
- (Optional) Select Add channel to post the invite in a team/channel.
- Select Save/Send.
Visual cue: Look for Calendar → + New meeting → Details form with fields for title, attendees, date/time, and recurrence.
2) Set Meeting options (lobby, presenters, recording prep)
Before sending (or after creating), open Meeting options:
- Who can bypass the lobby: Organizers only, People in my org, Everyone.
- Who can present / Co-organizers: Control screen sharing and mute rights.
- Allow mic/camera for attendees: Reduce interruptions.
- Record automatically (if available in your org).
Planning to capture the session? See how to record a meeting in Teams. You’ll likely also present content, so review sharing your screen and keep video tidy with background effects.
Visual cue: In the invite header, select Meeting options (link) to open a settings pane.
3) Schedule a channel meeting
- In the Details form, select Add channel → pick the team/channel.
- Send the invite. It appears in the channel’s Posts and on members’ calendars (depending on settings).
- Files and recordings save to the team’s SharePoint. For recording specifics, see how to record a meeting.
Visual cue: The Add channel field appears under date/time in the scheduling form.
4) Invite people outside your organization
- In Required attendees, type the person’s full email address.
- Teams sends an email with the join link.
If the invite bounces or guests can’t join, your org may restrict external access—contact IT.
5) Make it recurring (and edit just this event or the series)
- In the invite, change Does not repeat → choose a frequency or Custom days.
- To change later: open the event in Calendar → Edit → choose This event or The series → Save/Send.
Visual cue: The Recurrence dropdown sits beneath the date/time pickers.
6) Reschedule or cancel
- Reschedule: Open the event → Edit (pencil) → adjust date/time/attendees → Send update.
- Cancel: Open the event → More (⋯) → Cancel meeting → add a note → Send.
7) Schedule from a chat (fast track)
- Open the chat (1:1 or group).
- Select Schedule a meeting (calendar with plus icon) in the header.
- Teams pre-fills attendees—set date/time and Send.
If this “group” is long-running, consider a structured space: create a group/team in Microsoft Teams.
8) Schedule on mobile (iPhone/Android)
- Tap Calendar → + (New event).
- Add Title, Participants, Date & time, Repeat (if needed).
- Tap Save.
You can also adjust Meeting options after creating the event from the meeting details screen.
Troubleshooting
- Calendar is missing: Your license or policy may not include Calendar; switch to the desktop/web app or contact IT.
- Guests can’t join: External access or the domain might be blocked; ask IT to allow the domain or send a channel-agnostic private invite.
- Time zone issues: Confirm your Teams/Outlook time zone in settings; re-send the invite.
- Attendees can’t present: Promote them via Meeting options → Who can present or assign Co-organizer.
FAQs
Channel vs private meeting—what’s the difference?
Channel meetings post in a team’s channel and store files/recordings in SharePoint. Private meetings live in chat/OneDrive.
Can I auto-record scheduled meetings?
If allowed by policy, enable it in Meeting options; otherwise start it manually—see record a meeting.
Where do I prep slides?
Use PowerPoint Live when you share your screen for crisp slides and private notes.
